Manage Future Requests

This page contains a detailed overview of how to manage the amount of licenses, the billing plan, and the billing term of a subscription upon its renewal in the BSS.

 

Managing Future Requests in the BSS Portal


The BSS user can schedule a quantity change, a billing plan change, and a billing term change of a subscription at the end of the billing period, which takes place upon renewal.

To increase or decrease the amount of licenses, billing plan, and billing term upon the renewal of a subscription, select the Manage Renewal in the shortcuts menu.

In the dialog box, specify the new amount of licenses, the billing plan (when applicable), and the billing term (when applicable), and then click Submit.

Of course, users can change either the Number of licenses, the Billing Plan (when applicable), or the billing term (when applicable), a combination of those, or all at once.

 

A future request is then created and shown in a ribbon, inside the respective subscription view page.

To cancel the request, select Revoke Change on the ribbon. In this case, no change of quantity and billing plan will be performed at End of the Billing Period.

In addition, a comment is created in the Notifications and Updates section informing the user about the future request:

When the billing service runs at the end of the billing period, the BSS Subscription is renewed & updated, and the invoice is created with the new change.

 

Manage Renewal Conditions


The Manage Renewal option is available to the users of Root organizations as well as to Tenant Resellers and Country Tenant Resellers, in both the BSS and the Storefront platforms, only if the following conditions are met:

  • The subscription is Active with provisioning status: Synced.

  • The Auto Renew option is enabled.

  • The subscription has a pricing type of prepaid-recurring charge.

  • There is no existing future request (either in the Storefront or in the BSS).

  • The subscription quantity limit is not equal to 1.

Additionally, the option is available regardless of the payment method of the customer. It is also available for subscriptions with bundles.

 

Future Requests & Backordering for Tenant Organizations


Future requests are created in a Tenant organization and executed upon the renewal of the Tenant’s billing cycle. Upon renewal, the Parent organization is informed about the change, which is immediate.

Tenant Resellers

Tenant Resellers are limited to changing the subscription quantity only. Changing the subscription billing term and plan are currently not supported.

For Tenant Resellers organizations, once an increase or a decrease in quantity is requested via the Manage Renewal action:

  1. A future request is created, but it is not transferred to the parent organization via backordering.

  2. When the billing service runs in the tenant organization and the subscription is renewed:

    • The future request is applied, and the quantity is updated.

    • The subscription is invoiced with the new quantity.

Country Tenants

Country Tenants enjoy the full set of Manage Renewal capabilities: They can change the subscription quantity, billing term, and subscription plan.

A Country Tenant’s organization operates similarly to a Root organization, inheriting the same Storefront user permissions and restrictions defined in the Parent’s Storefront. This means that any action—whether allowed or restricted—for a Storefront user in the Parent environment also applies to Storefront users in the Country Tenant’s Storefront.

However, backordering is not supported for Country Tenants. As a result, any future-dated actions are never transferred to the Parent organization.

When a future request exists, it is displayed on the Subscription view page in BSS via a prominent ribbon indicator. Additionally, the related comment is shown under the "Notifications and Updates" section of the subscription for full context.

For Country Tenant resellers, the "Manage Renewal" option is also available directly within their BSS organization, enabling them to manage renewal settings efficiently.

Currently, only immediate quantity changes (increase/decrease/cancel) are allowed for add-ons.

 

Cancellation Actions when Backordering is Enabled

When backordering is enabled, regarding the cancelation of a subscription, the only available option is that of Immediate cancellation. This means the user can only perform immediate cancellations and not create requests for scheduled (full) cancellations.

However, as a workaround, if a Storefront user in a tenant’s organization does not want to renew their subscription after the current billing cycle, they can do so by disabling the “Auto-renew” toggle option.
