Updating the Dropbox Products' Prices
- Panagiotis Papanastasiou
In the interworks.cloud platform, you can update the pricing of your Dropbox products by following the below guide.
Getting the Dropbox Prices
For the first step of updating the Dropbox product's prices, one must acquire the prices from Dropbox via their monthly released PDF file and either input manually the prices for each product and add-on in our BSS platform or utilize the Product Importer to import the prices via an Excel file. This process must be repeated each and every month since Dropbox product and add-on prices might change and our BSS platform prices should be in alignment with those from Dropbox.
Choosing the Desired Input Method of Adding the Prices on the Products and Add-ons
To add the prices from Dropbox's PDF to our BSS platform, there are two methods, namely the manual input of prices and the "Product Importer" tool.
The manual input of prices for all 50 Dropbox products and 4 add-ons via the "Edit Recurring Charges" button, located under each Dropbox product's view page in BSS.
- The "Product Importer" tool method requires you first to create a BSS Report that contains only the Dropbox products (without the Add-ons) and then Export it, in order to transfer the prices from the Dropbox PDF to the exported Excel file and then import that final excel(with the prices) in the aforementioned tool. Please proceed to the following section to continue with this second method of importing prices to Dropbox products.
Creating a Dropbox Products' Excel file from BSS Reports
Please note that the instructions below apply only to Dropbox and not to HelloSign products. HelloSign product prices must be updated manually, as described in the previous section.
You should first create a report containing all the Dropbox products. You will then use the exported excel file for updating the prices for each Dropbox product using the "Import Products" tool.
- Navigate to BSS > Reports > Reports and click on the button New Report.
- Under the first step, select the data type Products and click on the "Next Step >>" button.
- Under the second step, choose the following fields: Code, Default Unit, Description, Product Type, Is Add-on.
Afterwards, click on the "Next Step >>" button. - Under the third step, please create the following two criteria.
- Column = Product Type | Operator = is equal to | Value = Dropbox Subscription →This criterion will feed the report only with Dropbox products and add-ons.
- Column = Description | Operator = not contains | Value = Advanced Server → This criterion will feed the report only with Dropbox Products since it filters out the add-ons and the "Advanced Server" editions that require their prices to be provided manually (as explained in the previous section of this page). The Criteria Rule must be: "1 AND 2".
After the criteria have been defined, please click on the "Next Step >>" button until you reach the fifth and last step.
- Under the fifth step, the results will appear momentarily and as a result, you can click on the "Export Results" button in order for the Excel file to be created.
After the Excel file has been exported, please copy and paste all the contents to transfer them to a new Excel file that will have a distinctive name as well as the ".XLSX" filename extension.
Subsequently, the last step of Excel's creation is to create a new column named "Unit Sell Price". This column is the one that needs to be filled in with the prices contained in Dropbox's PDF file.
Updating Dropbox Products' Catalogue Pricing
Since the products of Dropbox in our BSS platform are already imported automatically via the "Get Services Definition" process, the respective prices from the Excel file can be easily imported as follows:
Under the Billing > Products section, click on the "Import" button and select the option "Import Products".
On the pop-up window, click on Browse and locate the latest Excel file containing the current Month's product prices.
Upon uploading the Excel sheet, under the first step of the import process, you select the values of the fields related to:
- The Excel Spreadsheet (<The Name of Your Excel Spreadsheet>),
- The currency (Your Currency),
- The product type category (Common Product Type),
- The product type (Select...[leave it as is by default]),
- And the pricing type (Recurring charge - Prepaid), as illustrated in the following image.
Click on the Next button to continue.
On the second step of the import process, you must match the Excel file columns with the target fields by creating a mapping.
Make sure that you populate the target field values as depicted in the following image.
Click on the Next button after selecting the proper values for each target field.
On the third step of the import process, you are required to confirm the import by setting the "Responsible User" as well as the "Permission rule" based on which the process will be initiated.
Lastly, after finishing the import, inside the import report page, click on Close.
After the first import, don't forget to change the "Default Unit" and then re-run the import process for updating the prices of the "Monthly" billed Dropbox products.
Consequently, after finishing both Imports, you will see the added products having all the relevant prices.
Manually Updating the Remaining Products and Add-ons
Now all you have to do is manually update the prices for the two editions of the "Advanced Server" product along with the four Dropbox Add-ons, namely:
10 TB Add-On (for Advanced Server) - Billed Monthly
50 TB Add-On (for Advanced Server) - Billed Monthly
- 10 TB Add-On (for Advanced Server) - Billed Annually
- 50 TB Add-On (for Advanced Server) - Billed Annually
Price Protection for All Dropbox Products' Catalogue
Price protection is a feature that allows your customers to maintain their Dropbox subscription's price for a specific period, even if the product's price increases. This ensures price stability and predictability.
How Does Price Protection Apply to Dropbox Products?
Our system automatically applies price protection to all Dropbox products (including Dropbox Sign) created through the Get Services Definition (GSD) process. The duration of the price protection period depends on the product's billing cycle, and is analyzed below:
- Monthly Commitment - Monthly Billed: 1 month
- Annual Commitment - Monthly Billed: 12 months
- Annual Commitment - Annually Billed: 12 months
1 - Monthly Commitment - Monthly Billed | 2 - Annual Commitment - Monthly Billed | 3 - Annual Commitment - Annually Billed |
---|---|---|
The price protection term must always be specified in months. |
Important Considerations:
- Add-ons: Add-ons do not have their own price protection period. They follow the terms of the main subscription.
- Existing Subscriptions: Price protection does not automatically apply to existing Dropbox subscriptions. To apply price protection to an existing subscription, please contact our support team.
- GSD Process: The GSD process automatically sets the price protection term for both new and existing Dropbox instances. However, a change in the price protection term will only affect new subscriptions.
By understanding these guidelines, you can effectively utilize price protection to benefit your business and provide value to your customers.
