Canceling Microsoft Software Subscriptions
On this page, we explain the cancellation window and the cancelation options provided for a Software subscription and how you or your customers can utilize them.
Although the legacy Software Subscriptions in the form of assets had a cancellation window of 30 days, the cancelation window of the new Software subscriptions after the 14th of October 2022 is calculated on hours, and it is limited to 7 days (168 hours) after the purchase date of any term (annual or triennial).
Cancellation Rules for Software Subscriptions
The following cancellation rules apply to the new Software subscriptions from the 14th of October 2022 onwards.
Software subscription products returned within the 7-day (168 hours) return period receive a prorated credit of the paid purchase price. More specifically, within the first day (24 hours) of purchase, the refund is full, while partial refunds are applied after the first day (24 hours).
The only available cancellation timeframe option for Storefront and BSS is currently the immediate one, while the cancellation from Storefront is automatically executed without dispatching a cancellation request to BSS, for acceptance purposes.
Partial cancellations are not allowed, and beyond the 7 days (168 hours), no returns or exchanges are allowed.
Microsoft does not charge an early termination fee.
Exchanges do not apply to Software subscriptions purchased in CSP.
Canceling Software Subscriptions via Storefront
For subscription-based product types, such as the Software subscriptions, the option "Automatic execution of subscription cancelation requests" is enabled by default. As a result, a cancelation request will not be created on BSS for a Software subscription when the Storefront user selects to cancel it and receive a refund. This means that as soon as the Storefront user cancels the subscription, the execution is immediate. Moreover, since no partial cancelation is supported by Microsoft, our BSS platform also does not support it.
When the user opts to cancel a Software subscription on the Storefront, the following disclaimer pop-up message appears upon canceling a license on the Storefront:
Once the Storefront user selects to cancel the subscription, by clicking on the Submit button, the cancellation action is executed immediately, and upon its completion, the following pop-up message appears, informing the user about the successful cancelation of that subscription.
As a result, the subscription will change its status to Canceled.
Canceling Software Subscriptions via BSS
The same logic applies to the BSS when canceling a Software Subscription. If the subscription is within the 7 days limit, it is eligible for cancelation as well as a refund, and the "Cancel" action on BSS is displayed on the Shortcuts menu of the subscription. Otherwise, it will be hidden.
When opting to cancel a Software subscription via BSS, the subscription cancelation pop-up appears where the cancelation type will be by default "Immediate", since the cancelation day can only be the current day, to avoid provisioning issues.
Once the BSS user selects to cancel the subscription by clicking on the Send Request button, the cancellation action is executed immediately, and upon its completion, the subscription will change its status to Canceled.
BSS Ribbon on Remaining Time for Cancelation
After the successful creation and provisioning of a Software subscription in BSS, a notification ribbon is present on the upper part of the subscription view page where the BSS users are informed about the cancellation due date and time for that specific subscription.
Suspending Software Subscriptions
Suspension of a Software subscription or Activation of a suspended Software subscription is neither allowed by Microsoft nor our systems.
