Customize Invoice Print-out

The Print-Out Template facility can be leveraged to provide a completely individualized outlook of the Invoice template that will be dispatched to the end-customer. The Invoice print-out must be tailored to have the required logos and marketing look and feel. The business context can be amended to reflect specific requirements as well however, that is a service that is provided in collaboration with interworks.cloud.

The template environment contains several sections. The user can define the look and feel of the print-out, and also set some parameters that affect the displayed information. 

Setting Up Parameters


You can configure various parameters to modify the behavior of the print-out, that will be being initialized before the loading of the print.

The available fields are the following:

  • Parameters: The name of the parameter
  • Data Type: The type of the parameter. E.g. Yes/No, Text, etc.
  • Default Value: This setting defines the standard behavior for this parameter
  • Identifier: This is the identifier of each parameter, that is going to be included in the editor window, in the arguments that enable it 

For example, you can define if the print-out will display a product's list of characteristics or not. Here is an example of that:

  • Parameters: 'Display Product Attributes'
  • Data Type: 'Yes/No'
  • Default Value: 'Yes'
  • Identifier: 'product attributes' 

After declaring the parameters you can use them inside the template as variables.

Defining the Email Dispatch Options


If you have enabled for your customer the option "Auto invoice notification", the system will send automatically to the customer an email that will include the invoice as a pdf file. 

You can define how the invoice email will be dispatched to the customers by setting the following parameters: 

  • Subject. The subject of the email. You can use merge fields for including invoice information like the invoice number
  • From. Define who sends the email.
  • CC and BCC fields. The email is sent by default to the "Bill to Contact" you have defined for your customer. But using these two fields you can add more recipients. You can just enter an email or use a merge field where you keep the recipients for each account. 
  • File Name. You can define the name of the pdf file using merge fields for creating a unique name.

Re-branding the Print-Out


The content can be configured through a WYSIWYG editor. The editor has two modes of operation. The 'design' mode allows for a more 'easy' handling of the content as it allows 'copy-paste' operations and also hosts several tools for further enhancing the material. 

Through the 'HTML' mode the user can use coding to amend a template.

Details that should be changed are: the logos and look and feel of the template, along with the company details that are displayed on the template.

Among other things, you can:

  • Insert the company logo
  • Fix Headers and footers to match your marketing guidelines
  • Insert Hyperlinks to other internet content
  • Add pictures
  • Style the fonts according to your site

When you are done with configuring the content, don't forget to use the 'Valid Template' button () to verify that the syntax is correct!

After you complete changes at the notification, don't forget to click "Save" on the top left of the screen to commit the changes! 


Preview your Changes!


You can use the 'Preview' facility to check your progress. By clicking 'Preview', a pop up will be displayed to select appropriate entities. The pop up derives contents from entities already stored in the system. Click on one to view the preview of your template with data from the existing entity.
