Defining Google Workspace Products

 

In interworks.cloud platform you can define your Google Workspace Products by creating products of type Google Workspace or Google Workspace Flexible.

Getting the Product Type for Google Workspace Services


The first step is to get the definition of Google Workspace Services. For doing this, you must run the Get Services Definition on the Google Workspace Settings page. This action will create the product types Google Workspace and Google Workspace Flexible in your Cloud BSS. This action will create the product types Google Workspace and Google Workspace Flexible in your BSS platform.

You are done creating the required Google Product Types and/or updating the Service Manager with the latest functionality.

 

You can locate both product types in BSS > Setup > Billing > Products > Product Types. 

Creating the Google Annual Plans


For creating Google annual plans you should use the “Google Workspace product type. The Annual Plan - Yearly Payments products have the following characteristics:

  1. You pay in advance for the full year

  2. You can add users at any time but you can only remove licenses when you renew your annual contract

  3. If you cancel your contract before the renewal date, no refunds are issued.

  4. No upgrade is possible during the term of this plan

The Google Workspace product type has the following properties:

  1. Google Workspace SKU: It is a list of all the plans that the system supports for automatic provisioning. 

  2. Plan of Addons: The list of available add-ons

  3. Google Workspace Renewal Setting: This property is for defining the renewal policy, and for the annual plans it should always be “Auto Renew Yearly Pay”.

  4. No Of User: This is a product characteristic that can be used for defining the users' packages in the Google Workspace products that is how many users the customers will get if they purchase one quantity. 

For creating the annual products, you should follow the below process:

  1. Navigate to Billing>Products, click on Add button and select the Add Product option.

  2. Select the product type "Google Workspace"

  3. On the field, Google Workspace SKU, select from the drop-down menu the desired Google plan.

  4. On the field, Google Workspace Renewal Setting set the value “Auto Renew Yearly Pay”

  5. Fill in the field No Of Users with the desired value.

  6. Define its pricing. You should enable only the Annual unit and the option “'Charge the whole billing period

 

The products you should create should be for the following Google plans:

Creating the Google Flexible Plans that are billed Monthly


For creating the flexible plans that are billed monthly, you should use the “Google Workspace Flexible” product type. The Flexible Plan products have the following characteristics:

  1. You have the flexibility to add and delete user accounts for your customer any time through the customer's Admin console.

  2. Because there’s no long-term commitment, you can cancel your customer’s accounts or switch their accounts to another payment plan at any time.

  3. Upgrade your Google Workspace subscription at any time.

The “Google Workspace Flexible” product type has the following properties:

  1. Plan Of Suite: It is a list of all the plans that the system supports for automatic provisioning. 

  2. Plan of Addons: It is a list of all the Basic Flexible Add-ons that the system supports for automatic provisioning.

  3. No Of User: This is a product characteristic that can be used for defining users packages in the Google Workspace products that is how many users the customers will get if they purchase one quantity. 

For creating the Google flexible products, you should follow the below process:

  1. Navigate to Billing>Products, click on Add button and select the Add Product option.

  2. Select the product type "Google Workspace Flexible"

  3. On the field Plan of Suite, select from the drop-down menu the desired Google Workspace Edition.

  4. Fill in the field No Of Users with the desired value.

  5. Define its pricing. You should enable only the Monthly unit and the option “'Charge the partial billing period

The products you should create should be for the following Google plans:

  • Google Workspace Enterprise Plus - replacement for GSuite Enterprise

  • Google Workspace Enterprise Standard

  • Google Workspace Business Plus

  • Google Workspace Business Standard

  • Google Workspace Business Starter

  • Google Workspace Essentials - replacement for GSuite Essentials

  • Legacy Plans (from G Suite) - Create products for these plans only if you have existing customers with these plans and you haven’t migrated yet to the new Workspace plans. These products will be used from our system for importing legacy subscriptions from Google portal using the Google Workspace Customers' Importer Tool

    • GSuite Basic (legacy plan)

    • GSuite Business (legacy plan)

 

Upgrade paths between Google Plans


Google permits a customer to own only one type of licenses, meaning that the customer cannot have both Business and Enterprise licenses for example. If a customer with Business licenses wishes to use Enterprise licenses too, he must upgrade all his licenses from Business to Enterprise.

For supporting this scenario you should do the following configuration in our system (you should the following for both Annual and Flexible Monthly Plans)

For defining the upgrade paths you should use the “Upgrade Options” action that is available from the product details page. In the following example, you can see how you can define the upgrade paths for the product “Google Workspace Business Starter”

Select the upgrade options for this product from the section shown in the figure below:

 

Define all Google Plans as Mutually Exclusive Between them

Since a customer cannot have 2 subscriptions for different Google plans, you should enforce this rule by defining that all Google plans are mutually exclusive to each other. For accomplishing this you should follow the instructions explained on the following page Mutually Exclusive Products.

Google Add-ons


The available Google add-ons are the following:

  • Google Drive. With Google Drive you can access files, folders, and Google Docs from a web browser or any device where you have installed your Google Drive.

  • Google Vault. It is an add-on for Google Workspace that lets you retain, archive, search, and export your organization's email for your eDiscovery and compliance needs.

Both Google product types (“Google Workspace” and “Google Workspace Flexible”) have a property called “Plan of Add-ons” with the following list of district add-ons SKUs:

  • Google Workspace Enterprise Plus - Archived User

  • Google Drive storage 16 TB

  • Google Drive storage 1 TB

  • Google Drive storage 200 GB

  • Google Drive storage 20 GB

  • Google Drive storage 2 TB

  • Google Drive storage 400 GB

  • Google Drive storage 4 TB

  • Google Drive storage 50 GB

  • Google Drive storage 8 TB

  • Google Vault

For creating the add-ons you need to do the following:

  • First, you need to check that the “Define Product as” option is set to "Add-on".

  • Provide a meaningful Description for the add-on's name so that you and your customers can understand.

  • The Product Type drop-down menu must be "Google Workspace Flexible" or “Google Workspace” depending on which plan you want to create the add-on.

  • In the Code field, you have to provide a unique alphanumeric code of your choice for the add-on.

  • Under the "Product Characteristics" page section, leave the Plan Of Suite/Google Workspace SKU and No Of Users product characteristics empty and just select an SKU from the "Plan Of Addons" property, as illustrated below.

  • Make sure the "Pricing" section of the page is set to "Recurring charge - Prepaid".

  • Also in the "Pricing" section of the page, provide a price for Month or Year depending on whether the add-ons are for an annual or a monthly plan.

  • Lastly, click on the Save button at the top of the page to create the add-on.
