Reconciling Microsoft Subscriptions Quantities

For reconciling MS O365 BSS subscriptions with their Partner Center equivalents, we have implemented a tool called "Subscriptions Validation/Reconciliation" that is available in BSS Setup > Tools. The tool offers Microsoft Partner Center details about each (New Commerce Experience and Software) subscription, but more importantly, it validates BSS subscription vs Microsoft Partner Center and reports the findings on a user-friendly interface. Additionally, it can be used to apply corrective actions if it detects an issue.



Reconciliation Options


On the field 'Validation With' you will see a drop-down list with 2 options. These options are the SubscriptionID and the Account. Each option will execute the process for a specific data set:



  1. SubscriptionID: The system will perform a check for a particular subscription. In order to locate the ID of a subscription, you must load the subscription in BSS and then locate the ID at the address bar of your browser and fill it in the field next to the drop-down list:



  2. Account: The system will perform a check for the subscriptions of a particular account. In order to locate the ID of an account, you must load the account in BSS and then locate the ID at the address bar of your browser and fill it in the field next to the drop-down list: 



Results Set


Since the release 3.28.148, the Get Hierarchy button, that was located beside the Microsoft Cloud Services Instance, is now remove because the Get Hierarchy process is now automated, whenever an instance is selected. Also, 
for running the validation process, you must click on the Validate button. The results are displayed in a tabular form:

The validation process will return one line for each synchronized BSS subscription (base and trial) along with extra lines for each subscription add-on. The information we return for each subscription/add-on is the following:

  1. Subscription / Addon ID: The BSS subscription ID.
  2. Is Trial: If the entry refers to an NCE trial subscription or not. The default value for Software Subscriptions is "N/A".
  3. Is Addon: If the entry refers to a basic SKU or to a legacy Add-on or not. The default value for Software Subscriptions is "N/A".
  4. Is NCE Addon: If the entry refers to a New Commerce Experience (NCE) Add-on. The default value for Software Subscriptions is "N/A".
  5. Is Bundle Sub-Subscription: If the entry refers to a sub-subscription of a Bundle.
  6. Subscription Name: The BSS subscription Name.
  7. Microsoft ID*:  The Microsoft Partner Center subscription ID. When clicked, redirects you to the view page of that subscription on the Microsoft Partner Center.
    1. Change: This option under the Microsoft ID column (per Subscription) allows the change of the Subscription ID to another existing and valid subscription ID from inside the Microsoft Partner Center, and it is only visible for NCE subscriptions.
    2. View Subscriptions: This option, when clicked, opens a pop-up window listing all the subscriptions under the specific Microsoft Partner Center Tenant.
  8. Microsoft Order ID: The Microsoft Order ID is populated only for Software Subscriptions. The default value for NCE Subscriptions is "N/A".  
  9. Microsoft Start Date: The Microsoft Partner Center start date.
  10. Microsoft End Date: The Microsoft Partner Center end date.
  11. OfferURI: The subscription product MS code.
  12. Tenant ID: The MS tenant ID.
  13. Product Name: The product name. 
  14. Quantity: The quantity of the subscription in the BSS portal.
  15. Billing Cycle: The billing cycle, as listed in the Microsoft Partner Center, of the entry (whenever applicable).
  16. Status: The status of the subscription in the BSS portal.
  17. Comments: The reconciliation results (errors, warnings, etc.).

* The result table also contains two options per record:

  1. Change: a user can change the partner center subscription ID that is related to the BSS subscription.  

  2. View Subscriptions: the system fetches subscription information from the partner center without linking it to BSS subscriptions (this view contains all the tenants subscriptions regardless of validation entity).


    By hovering over the  'More Details' hyperlinked text in blue color, the tool will retrieve even more details from the Microsoft Partner Center:



Reviewing the Results


The subscriptions that you must investigate further for provisioning problems, are the ones that their background color is redFor these subscriptions, we suggest to first run the tool for the specific account in order to have the full picture of what Office365 subscriptions you have for this customer in the BSS portal and what in the Microsoft Partner Center. Then by checking the status and the quantities of the subscriptions in both systems you can decide for the next steps.

'NCE' Issues Detected and Specified in the ‘Comment’ Column

The following is a list of possible issues addressing NCE subscriptions:

  1. Quantity: Microsoft subscription is in quantity x.

  2. Status: Microsoft subscription is in ‘Suspended” / “Microsoft subscription is in Deleted”.

  3. Price Protection period: Microsoft subscription is price protected until <MPC Date> (Current price protection end: <BSS Date>).

    For organizations that have extreme time zones (such as +12 hours), the dates are in fact different between MPC and BSS. Therefore, the discrepancy message will appear in the reconciliation tool. This is known within our Support Team, and currently in such cases, the team can perform changes to the date of the subscription.

  4. External ID differences: Subscription has no relation with Microsoft subscription. The user can change the External ID of a subscription to another via this tool using the ‘Change’ hyperlink under the ‘Microsoft ID’ column.

  5. MPN ID Differences: Microsoft subscription MPN ID is currently {0}, while BSS subscription has currently MPN ID {1}. There is a link in the comment that takes you to the ‘Change Account MPN ID’ tool where it can be updated.

  6. MPC and BSS Trial Flags are not identical: BSS Subscription is trial, while Microsoft (MPC) subscription is not.

  7. Different Offer (SKU): “Microsoft subscription has OfferURI: <<MS OfferUri>>”.

'Software Subscription' Issues Detected and Specified in the ‘Comment’ Column

The following is a list of possible issues addressing Software subscriptions:

  1. Quantity: Microsoft subscription is in quantity x.

  2. Status: Microsoft subscription is in ‘Suspended” / “Microsoft subscription is in Deleted”.

  3. External ID differences: Subscription has no relation with Microsoft subscription. The user can change the External ID of a subscription to another via this tool using the ‘Change’ hyperlink under the ‘Microsoft ID’ column.

    For Software Subscriptions, user cannot change the External ID via the tool. They can only view it.


  4. MPN ID Differences: Microsoft subscription MPN ID is currently {0}, while BSS subscription has currently MPN ID {1}. There is a link in the comment that takes you to the ‘Change Account MPN ID’ tool where it can be updated.

  5. Different Offer (SKU): “Microsoft subscription has OfferURI: <<MS OfferUri>>”.
  6. Different/Invalid Order ID: Microsoft Order ID cannot be related to a Microsoft subscription.

  7. Order ID is ‘empty’: Subscription has no Microsoft Order ID and cannot be related to a Microsoft subscription.

  8. Order ID is ‘null’: Subscription has no Microsoft Order ID and cannot be related to a Microsoft subscription.
