Outlook Configuration: Migrate from Exchange 2007 to Exchange 2016
Introduction
This article will present the mandatory actions in order to setup an Exchange 2016 mailbox account to the Outlook client.
Outlook Configuration
First of all, the Outlook client must meet the minimum requirements presented inside the Exchange 2016 Supported Clients article. Keep in mind that moving from
Hosted Exchange 2007 to Exchange 2016 it will be like setting up a new mailbox.
Step 1 - Export / Backup the Current Mailbox
To begin the migration export the current .pst file. The following guide is targeted Outlook 2010. In case of a different version of Outlook check the Export or backup email, contacts, and calendar to an Outlook .pst article.
At the top of Outlook ribbon, choose the File tab.
Choose Options.
In the Outlook Options box, choose Advanced.
Under the Export section, choose Export.
Click Export to a file, and then click Next.
Click Outlook Data File (.pst), and then click Next.
Select the name of the email account to export, as shown in the picture below. Only information for one account can be exported information at a time.
Make sure that the "Include subfolders" check box is selected. This way everything in the account will be exported: Calendar, Contacts, and Inbox. Choose Next.
Click Browse to select the save location of the Outlook Data File (.pst) and to enter a file name. Click OK to continue.
Click Finish.
Now that your Outlook data is in a .pst file, it's portable and able to be import to any other Outlook client.
Step 2 - Delete the Current Mail Profile
In Outlook, click File > Account Settings > Manage Profiles
Select Show Profiles.
Select a profile, then select Remove.
Step 3 - Setup the New Exchange 2016 Mailbox Account
- Select File > Add Account.
- Fill your account details.
- Finish.
Step 4 - Import the .pst File to Outlook
At this step the previously exported .pst file will be imported again.
- At the top of your Outlook ribbon, select File.
- Select Open & Export > Import/Export. This starts the Import/Export wizard.
- Select Import from another program or file, and then click Next.
- Select Outlook Data File (.pst) and click Next.
- Browse to the the target .pst file to import. Select the desired option and hit Next.
- If a password was assigned to the Outlook Data File (.pst), enter the password, and then click OK.
- Import items into the current folder. This imports the data into the folder currently selected.
- Choose Finish. Outlook starts importing the contents of the .pst file immediately. When the progress box disappears, the import is finished.
Conclusion
With the above steps completed the new mailbox (Exchange 2016) is running on the Outlook Client, providing access to the old emails.
