Create/configure a mailbox

Introduction

The following tutorial  is addressed to domain administrators and it will lead them to a successful and easy creation & management process! The key components to fulfill this guide are the platform login credentials and the use of any browser.

 

Step 1 - Access the account

Initially login to the Cloud Platform with the proper credentials (username & password). After the successful login,

reach to the Account Home tab

Reseller

Resellers, after the  successful login, should click on the desired Customer (All Customers > Customer's username) in order to go to the Client's Account Home.

Prior to creating Mailboxes, it is mandatory to have Domains added and Hosted Organizations that will host the Mailboxes created. 


Step 2 - Add a Domain

In case there is already a domain added, skip this step. 

  • To add a Domain, follow the steps:

a) Click on button "Domains" at the Account Home.
b) Click on button "Add Domain" and select Domain's type.

c) Specify Domain Name and Provisioning Options and click on "Add Domain".



Step 3 - How to add a Hosted Organization

 In case there is a Hosted Organization created, skip this step.

  • To create a Hosted Organization, follow the steps:

a) Click on button Hosted Organizations at the Account Home.


b) Click on Create New Organization.

c) Specify Hosted Organization's details and click on Create Organization.

On the Hosted Organization's main page the the following actions could be done:

  • create Users, to be assigned on Mailboxes later on.
  • create Mailboxes and assign those to Users.
  • view the available purchased Mailbox Plans.




Step 4 - Mailbox creation 

  • To create a Hosted Exchange Mailbox, follow the steps:

a) Click on button "Hosted Organizations" at the Account Home.

b) Click on the target Organization Name in which there is a need of mailbox addition. If there isn't any Organization Name, please see previous steps. 

c) Click on "Mailboxes" from the left menu and then click on button "Create New Mailbox.

 


b) Specify the user's details and select Mailbox Plan.

c) Click on "Create Mailbox".

Password Complexity

Password must include 8 characters (small and uppercase), numbers and symbols. 



Common Error

During the creation of a mailbox, there is a possibility to receive an error of "already exists" :

Cause: Creating an email account has as a result the creation of a user too. Deleting an email account does not mean that the user will be deleted too.

Solution: Search the list for one with the “already exist” mail, delete that user and restart the mail account creation.   




Step 5 - Mailbox Management 

In order to manage a mailbox navigate to the left menu and click on Mailboxes.

Search for the targeted mailbox and click on the display name. 


General 

The contact information of a mailbox is hosted under the General tab. The changes available in this tab are the following: 

  

  • Display Name: The display name is how the account will appear as sender or receiver during an mail communication process.  Thus, Panagiotis Koskeridis instead of panagiotis.koskeridis@demote.gr. 
  • Password: Filling the password and the confirm password fields (check How to change password to a mailbox).
  • Disable User: Ticking this radio button will disable (but it will not delete) the user . 
  • First/Last name, Initials, External e-mail: Personal details of the account. 
  • Notes: A field used from domain administrator just for.. notes! This field it is not visible to other users.
  • Company Information, Contact Information, Address, Advanced: Filling up those details will create an excellent contacts full of information about the person that will use this mailbox.

Useful Tip

Setting up all those account details properly will provide an incredible contact list, full of useful information to those who will link their smart devices with their Microsoft Exchange account!



Settings 

Under the Settings tab the domain administrator will be able to:

  • Hide from Address Book: Hide the targeted mailbox from the domain address book.
  • Disable Mailbox: keep the account details but the mail box will be disabled.
  • Mailbox plan: change the mailbox storage size.
    • Hosted Exchange Basic: size 1GB.
    • Hosted Exchange Professional: size 25GB.
  • Mailbox size: create a custom size rule for the targeted mailbox.


E-mail Addresses 

From this tab the domain administrator is able to :

  • Add more Email Address  of the same or different domain (both domain must be under the same organization).
  • Select the primary Email address of the user.
  • Delete one or more mail addresses  of the user.


Mail Flow Settings 

Forwarding Address 

From the Mail Flow Settings tab a domain administrator is able to manage any flow action concerning the targeted mail account. 

To forward all the incoming emails to a different address of the same organization : 

  • Have the Enable Forwarding radio button ticked.
  • Search from the destination email by clicking on  .
    It is possible to create a Forwarding rule to an external email address but first a contact to the targeted external email must be created! Check Mail forwarding to external email.

Sent on Behalf

To grand permission to a mail account,  to sent messages on behalf of another user click on , and search the mailbox of that user. 

Info

In case a user named Antony sends an email on behalf of Panagiotis .. the recipient will get knowledge that the sender was Antony on behalf of Panagiotis!

Accept \ Reject Messages From 

To restrict the mail exchange of a user tick the Only senders in the following list / Senders in the following list. Multiple mailbox accounts are able to be selected.

In order to restrict the message exchange from or to specific email addresses, contacts must be created in Contacts Section. Check How to create a Contact!

  


Permissions

Send As 

The administrator is able to grand permission to a mailbox to Send As a different user.  


Fact

This function is different than the Send on Behalf function because the recipient  will not be able to notice that he is receiving emails but the actual sender is different than the appeared one. 


Full Access

Using this function will grand full access permission to another user. Full access means that the targeted user will use the mailbox like it was his.


Setup Instructions 

This section contains instructions about how to configure\setup a mailbox to other devices.


Mobile Devices 

In this tab the mobile devices that this mailbox has been setup-ed will be appeared as a list.
