For migrating your existing customers in the Microsoft Partner Center and their subscriptions into your interworks.cloud BSS, we have implemented an import tool, called Import Customers Tool, which is used for importing one or more new partner center tenants into BSS, as well as importing one or more new subscriptions from the Microsoft Partner Center into an existing BSS account. This is particularly handy during the initialization of the system by a Microsoft Cloud Solution Provider (CSP) partner that has already started transacting through a CSP Channel. The tool supports Microsoft Tenant import under both CSP Direct (Tier 1) & CSP Indirect (Tier 2) partnership levels!

In order to avoid any inconvenience when initializing the import process, it is best that the user in our BSS has System Admin rights.

Please also note that the imported results will be accessible only to permitted BSS users.

Two Main Functionalities of the 'Import Customers Tool'

The Import Customers Tool, although it can import new customers along with their subscriptions to BSS, it can also update the existing customers' BSS accounts with new subscriptions that were created on the Microsoft Partner Center, and need to be imported onto our platform.
Please be aware that the tool will never update the existing subscriptions of existing customers in BSS. 


Compatible Subscription Types


The following subscription types are supported by the tool:

  • Legacy Office365 subscriptions
  • NCE subscriptions
  • Azure and Azure plan subscriptions


Access the Tool


To access the Office 365 Import Customers' Tool, navigate to BSS Setup > Tools and select Import Customers Tool.

The first step prior to running the import is to define the instance from which the process will begin importing the customers.

The Microsoft Cloud Services Instance is the drop-down field responsible for selecting from which Microsoft instance your customers will be imported. You may have one or more than one instances from which you can choose to import the customers. Additionally, instances usually contain either Direct CSPs or Indirect CSPs, but there are also cases where an instance can contain both types of CSPs. We provide an analysis of all kinds of instances.

Choice of Single or Multiple Tenants' Import 


After the instance is defined, we provide you with the ability to either migrate the data for only a specific Microsoft Customer by utilizing either the (Tenant ID) or the (Primary Domain) or mass migrate many Microsoft Customers (Tenant IDs) in order for you to have more control and options over the import process. The mass update is pre-selected by default.

  • Mass Customer Import Option: If you wish to mass migrate many Microsoft tenants, you can select the first option called Mass Microsoft Tenants update. Then you can proceed by clicking on the Get Hierarchy button.

    Last Update Indicator

    Νext to the "Mass Microsoft Tenants update" option, there is an indicator named Last Update in which the date and time, of the last mass update of the whole instance, are displayed. For CSPs who have never run a mass update from the import tool before, there will be no information for the Last Update indicator.


  • Single Customer Import Option: If you wish to migrate only a specific Microsoft tenant, you can select the second option called Microsoft Tenant ID/ Primary Domain update. You are required to provide either a valid Tenant ID(GUID) to the corresponding text field in order for the "Get Hierarchy" process button to become active or the Primary Domain that this tenant resides in, and then be able to proceed by clicking it.

    Tenant ID - Validation Message

    In case the tenant ID is wrong or does not exist in Microsoft, a pop-up message is displayed notifying you that “The Microsoft Tenant with ID 'that the user inserted' does not exist.”.

Each time you wish to insert one or more MS tenants to BSS, the tool acquires the existing MS tenant(s) of a CSP and the corresponding subscriptions of the tenant(s) via the Get Hierarchy button, which essentially begins a "communication" (API call) with Microsoft's Partner Center (MPC) in order to collect everything relative to the chosen instance. Then the results from this "communication" are stored inside our database. Apart from MS tenant(s), we will also save their imported status as well as the status of their imported subscriptions. This means that you are able to operate this tool without repeating the communication with Microsoft since you can use the saved data to begin the import.

Therefore, by selecting the Instance, the mass, or single MS tenant update option, and then getting your MS tenant(s) with the Get Hierarchy button, you are one step closer to the actual import.

Mass Update Without Refreshing via "Get Hierarchy"

In case you want to continue, at a later date, the mass update of the import tool without refreshing (Get Hierarchy), then the information displayed will be those from the Last Update from both the BSS platform (BSS) and Microsoft Partner Center (MPC). That means that new MS tenants could have been created, or BSS accounts could have been deleted, but without re-running the Get Hierarchy process, the import tool will not be aligned with both BSS and MPC data. 


Upon clicking on the Get Hierarchy a loader is being displayed in order for you to have a visual representation of the process of the account(s)' and subscription(s)' collection.


At the end of retrieving the data from Microsoft, a confirmation pop-up window is displayed, and the section's Last Update date and time get updated with the present date and time.

Click OK to proceed.

In case the MS instance, for which you initiate the Get Hierarchy action is not Authenticated or has expired Authentication, no MS tenant(s) will be displayed and you will receive the following error message at the end of the process:

What happens if you have some pre-existing Accounts inside our BSS and during the Get Hierarchy action those same Accounts appear on the list of Import Tool as "Unsynced"?

To overcome this false representation (inside the Import Tool list) of pre-existing Accounts(previously created and/or imported) looking as if they are not synced, after the Get Hierarchy action, we have added an audit mechanism that checks all the Accounts' external Mircosoft IDs (from the chosen instance) with the ones that already exist inside our BSS platform in order to verify if there are Accounts in BSS that were also brought from the Import tool during the Get Hierarchy action. If there are matching Accounts, then they are assigned the status "Synced" so that you don't import them, given that they already exist, as long as there are no inconsistencies between the number of subscriptions between the BSS and the Microsoft Partner Center. 

It is also important to note here that during the Get Hierarchy action, the column of the import tool list named "Related BSS Account" will contain the Account name that we have acquired from Microsoft, so you must be careful if you have renamed an existing Account inside the BSS since more than one Account might appear inside the same row under the column "Related BSS Account".

As best practice, after you have finished all the imports, it is recommended to re-run the Get Hierarchy process one last time in order to make sure that all tenants and end-customers are imported, and their imports are error-free.

Availability of Import Tool for Country Resellers 


In case you are a BSS user in the tenant's organization, and you want the "Import Customers' Tool" in your organization to use the parent's Microsoft credentials and not yours, then refer to the cases bellow.

Country Tenant:

As a  BSS user in a country tenant's organization I want the Import Customers Tool in my organization to use the Parent's MS credentials directly, without the need to copy them in my system. This means that the credentials of the parent's organization do not need to be transferred down to the tenant by having the tenant save the inherited Instance anymore.

Instead, when the system detects that this organization for this instance has a parent relationship, it retrieves the parent's credentials (e.g. token) and uses them for the Import Tool, without using the tenant's details. 

  • Business Scenario example:

As a BSS user in "parent's" organization, I renew the Token for my Microsoft Cloud Application. As a BSS user in a country tenant's organization I do not need to be informed of this change and subsequently "save" the inherited instance to get the latest details in order to use the Import Customers Tool. Instead, I am able to use it directly as the credentials are retrieved from the "parent". 

Simple Tenant:

The inherited instance is not displayed at all inside the Microsoft Cloud Services instance field in the Import Customers Tool.

This happens because the tenant is not able to import customers via the Partner Center account of the distributor.

As a result of the above, only country tenants can utilize the "Import Customers Tool", as the inherited Instance is not available in the "Import Customers Tool" of simple tenants

Import of New MS Tenant to BSS Along with his Azure Plan Subscription

During the import of a new MS Tenant to our BSS via the "Import Customers tool", his Azure Plan(s) from his MPC account, will not be imported automatically to BSS as they will have to be imported via the "Azure Migration Tool". As a result, both tools will be required when importing a new MS Tenant as well as his Azure Plan subscription to our BSS.
