The Microsoft subscriptions After the 14th of October, 2022, the new Microsoft Software Subscriptions are represented in our system as subscriptions, not assets. The assets Those subscriptions are part of our Billing module, and when your resellers or your customers place an order for an a Software subscription, a new asset record subscription is created in our platform for managing and invoicing purposes. In this page we explain what information we keep in the asset record for each Software subscription and how you or your customers can manage them. |
The Software Subscription Asset Record
For every Software subscription purchased by a customer, our system creates an asset record. This record is, while it is also the trigger for the provisioning mechanism |
This record is accessible through the Billing > Assets module. The information we keep for each Software subscription is the following:
- Name. By default, it's Software subscription plan name
- Status. The status of a Software subscription can be active, expired or cancelled.
- Provisioning Sync Status. It can be synchronized or failed analogous with the status we are keeping for the Office 365 subscriptions.
Note: If the status is failed, you need to edit and save the asset record for our platform to retry to provision the asset record. - Purchase Date. The date the asset record was created and the provisioning was executed.
Software Expiration Date. The expiration date. This date is loaded by calling Microsoft API and it's the date that you can see also in Microsoft partner center.
(If the "Software ID" is not returned from Microsoft API during the initial provisioning, and is empty, please edit and save againthe asset record for the field to be updated.)

The expiration date might not be available immediately after the creation of the Software subscription asset There are situations where Microsoft API delays to return the expiration date (about 10 minutes) and in this case we create the asset record with no expiration date. The workaround for this scenario is to edit and save the asset record after a while and our system will refresh the expiration date. |

Managing Software Subscriptions in Storefront
Your resellers and your customers can access the Software subscriptions they have purchased from the Assets section that is in Subscriptions section located under the Billing area of your Storefront.

Auto-renew of Microsoft Software Subscriptions
The auto-renew functionality of a synced Software subscription is, by default enabled, for purchases made after the 14th of October 2021, while purchases before that date have their auto-renew functionality disabled.
Increase / Decreasing Quantity of a Microsoft Software Subscription
Quantity change via BSS and/or Storefront is not supported for Microsoft Software subscriptions.

Updating a Subscription Can Reactivate the Auto-Renew Status if it was Previously Deactivated Please keep in mind that when updating a subscription in any way, e.g., changing its name, the “auto-renew” option gets activated and provisioned to the Microsoft Partner Center along with the update action of the subscription. |
Re-Provisioning a Failed Software Subscription
The Software subscription has a "Provisioning Sync Status" field for understanding if the Software subscription has been provisioned successfully in Microsoft systems. If the sync status is failed, you can try to re-provision the Software subscription asset by editing and saving the record.by clicking on the Retry button. Please be sure to check that the specific Software subscription has not been created inside the Microsoft Partner Center.
Backordering of Microsoft Software Subscriptions
The backordering functionality between a root organization and a tenant organization is supported and functions exactly as it is configured on the root organization.
Reports & Notifications for Microsoft Software Subscriptions
There are no system reports or notifications available for Microsoft Software subscriptions. However, both mechanisms can be manually created by a BSS user by navigating to the respective section of each mechanism and selecting the module Subscriptions.
- For Notifications: BSS Setup > Administration > Notifications > Customer Notifications > Subscriptions and select the New Notification button.
- For Reports: BSS > Repots > Reports and select the New Report button. While in the first step of the report creation, select the Subscriptions basic data type.
Upgrading / Downgrading Microsoft Software Subscriptions
Upgrading or downgrading a Microsoft Software subscription is not supported.
Custom Add-ons Not Supported
Since Microsoft does not offer any kind of Microsoft Software subscription add-ons; we also do not. Even if a BSS user creates a custom add-on to provide additional 'custom-made' services with the purchase of a Microsoft Software subscription product, this add-on will not be provisioned, or even properly invoiced, so even custom add-ons are not supported.
