Finalizing and Sending an Offer
An offer is typically created by a distributor for an existing or new customer, outlining specific services the customer is interested in purchasing at a fair price.
Once the offer is drafted, the BSS user can select it from the Offers List, and navigate to the Print-out section on the left sidebar to choose Draft print-out or Offer Template to review how the offer looks, before sharing it with their customer.

The Draft print-out option allows users to view multiple types of information, all in one place.
After clicking Draft Print-out from the left sidebar in the Shortcuts menu, a pop-up window will appear displaying the Print-out Parameters. Here, you can manage the contents of the print-out.
Image RemovedSelect All to include all available information, or check the boxes for the specific details you wish to include in your print-out.
Once the parameters are set, you may choose View PDF to download a file to your computer, or Display to view the print-out in a new browser window.
Alternatively, click Cancel to close the pop-up window and return to the previous menu.
Offer Template
An Offer Template is a ready-made format used to create offers for customers.

It's recommended to customize your Offer Template to align with your company’s brand image and specifications. To edit the Offer Template, enter BSS Setup mode by clicking Enter Setup in the top right corner. Then, navigate to Administration > Print-Out Templates to find and modify the Offer Template according to your branding requirements. |
Once the Offer Template is set up, every new offer will automatically adjust to include the correct branding, products, items, and billing details, based on the BSS user’s settings.
To view the template for a specific offer, select the offer and click Offer Template in the Print-out section on the left sidebar.

Image RemovedIn this section, you can further customize the template using the following options:
Language:Choose the language of the displayed information.Display offer line comments (Yes/No): Choose whether to include the offer line comments (if any).
Then, you can choose one of the actions on the toolbar on the left.

Save as:Choose Local File to download a PDF with the Offer template to your computer, or File in BSS to save your file within the system.View as: Choose to view the offer as an online PDF file or in HTML format.
If you choose PDF, you will also get the option to download Image Removed or print Image Removed the file from the menu on the top right corner.
Send via email: Send the offer directly to your customer via email.

When the offer is accepted and signed by the customer, then the BSS user can now proceed with changing manually the offer’s status from In Progress to Accepted and then begin converting the offer to an actual order based on the products and prices that were specified inside the offer.
To convert an accepted offer to an order, the BSS user has to just click on the Convert to Order button located at the Shortcuts options.
Once the aforementioned button is clicked, the offer is turned automatically to an order with the exact data in terms of basic information, products, quantities, prices, and possible discounts and price lists (whenever applicable), while the BSS user is redirected to the Order view page.
From this point onwards, the BSS user can either fine-tune the order before executing it, by clicking on the Edit button of the order, or directly execute the order by clicking on the Execute Order button located at the Shortcuts menu.
